PrintFleet

ConnectControlConserve

A smarter way to manage your print fleet.

PrintFleet reads every copier and printer at every client site, gives you meter reads you can bill from, gets toner there before it runs out, and shows it all under your own brand.

In use by South African dealers today. No open ports, no VPN.

The PrintFleet Fleet wall: seven devices across three clients, worst first, with counts for healthy, warning, error and offline, 98 395 pages in 30 days, and a Needs a person list of toner and paper jam alerts.
The PrintFleet phone app home screen: four things need a person today, one attention, three toner low, and a list of printers running low on toner.

One platform, three promises

Total control. Greater efficiency.

Connect

Every device, every site

One small agent on one PC at each client finds every networked copier and printer and reads it on a schedule. It only ever calls out, so there is nothing to open on the client's firewall.

Control

See it, bill it, fix it

Counters you can bill from, toner forecasts, alerts at any level and a service desk, all in one place. Your team sees trouble before your client picks up the phone.

Conserve

Fewer trips, less paper

Remote access to each printer's own web page saves site visits. The green report shows the paper and CO2 your clients saved by printing on both sides.

Features

Built for the way dealers bill, deliver and service.

Everything below is in the product today, shown on its real screens.

Billing accuracy

Bill from numbers you can stand behind.

Total, mono and colour counters for every device, each with an honest label: exact from the maker's own counter, derived, or total only. You see that label wherever a number could be billed.

  • Meter reads taken automatically and emailed to you as a CSV on the 2nd of every month.
  • A star marks the devices you bill, so nothing is billed by accident.
  • Exact counters for Sharp and Konica Minolta today. Any SNMP printer works through the standard Printer MIB, with more makers coming.
One printer's page in PrintFleet: a Sharp MX-3050N with total, mono and colour counters, the split marked exact, a monthly volume of 10 582 pages, toner levels with days left, and an open low toner incident.

Toner on time

Toner arrives before the page goes pale.

PrintFleet forecasts the day each cartridge runs out, raises a low toner alert and lets you order in one click. When the agent sees the new cartridge fitted, the job closes itself.

  • Alerts for the whole fleet, one account and its branches, one site or one device.
  • Narrow them by maker, model, managed or location.
  • Sent by email and phone push, only inside your notification hours.
A Sharp MX-3050N on the phone app, with its counters, a black toner low incident, and cyan toner at 62 percent with about 151 days left.
The alerts screen on the phone app: four open alerts, each with Acknowledge, Ticket and Close buttons.

Service desk Add-on

A service desk that keeps its promises.

Jobs sit on a board by queue and stage. Routing rules read like plain sentences. Service targets count in working hours, with South African public holidays built in.

  • Cards turn amber, then red, as a target gets close.
  • Your client gets an email at each stage, and the technician gets a warning.
  • A job nobody started closes itself when the problem clears.

The wall screen

Put the whole fleet on the wall.

The Fleet wall runs in the office. Present mode runs on a TV in your service centre: live, rotating slides of fleet health, open incidents, consumables due and print volume, with no one signed in.

Present mode on a TV: Fleet health at 86 percent, six of seven printers healthy and one in error, with tabs for open incidents, consumables due, not reporting, print volume and service desk.

Reports and more

Answers your clients will actually read.

Reports, on screen, as CSV or PDF

Meter reads, utilisation, supplies due, reporting status, alert history, device age, uptime, a green report and total cost of ownership. Save any of them and have them emailed on a schedule.

The green report: pages, duplex pages, sheets saved, paper used and CO2 for each of seven devices.
The total cost of ownership report: mono and colour pages per device, with columns for mono cost, colour cost, lease and cost a page.

Remote Device Link

Open any printer's own web page from anywhere, through the agent, without a VPN. Fewer trips to site.

Fleet assistant

Ask in plain language: "which printers run out of toner this week?" Quick answers are free, and an AI assistant runs on your own AI account.

The phone app

Installs from the browser on Android and iPhone, with push notifications. The fleet, alerts, tickets and meter reads in your pocket.

Accounts with branches

Client users see only their own fleet. Account admins run their own branches, so head office stays in charge.

How it works

Live at a client site in three steps.

  1. 01

    Install the agent

Run the setup program on one Windows PC at the client site. It carries your brand, installs as a service, updates itself and needs no firewall changes, open ports or VPN.

  2. 02

It finds and reads every device

The agent discovers every networked copier and printer and reads them on a schedule over SNMP, the standard language printers use to report their counters and supplies.

  3. 03

You see, bill and service it all

Counters, toner, alerts and jobs arrive in PrintFleet, ready for the monthly meter read, the next toner order and the next service call.

For dealers

Your brand, not ours.

Run PrintFleet under your own name. Your clients see you, never us.

  • Your name, logo, colours and sign-in artwork on every screen.
  • Your own product name, with your clients signing in on your page.
  • The agent's setup program carries your brand, and it installs under your name.
  • A local status page on the client's PC, for anyone on site.
See it in your colours

Security and trust

Nothing to open. Nothing to share.

0

open ports at the client

0

firewall changes

0

VPNs to manage

Outbound HTTPS only

The agent only ever makes outbound, encrypted connections to PrintFleet. Nothing on the client's network listens for the outside world.

Each client sees only its own fleet

Client users see their own devices and nothing else. Account admins see their own branches.

The assistant keeps the same rules

The fleet assistant only ever sees what the person asking may see, so a question can never reveal another client's fleet.
